Administrative Assistant (Part-Time) 

Approximately 20 hours/week with flexible schedule

The Administrative Assistant is responsible for performing administrative and office support activities for the Dot Org team. Duties may include answering telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations and filing. Extensive software skills, Internet research abilities and strong communication skills are required. This position directly reports to a Director of the company.

Specific Duties and Responsibilities:

  • Providing administrative support – copying, filing, etc.
  • Scheduling meetings and travel
  • Preparing monthly client reports
  • Entering tasks into project management software
  • Keeping CRM up to date/managing appropriate media, client and prospect lists – data entry
  • Preparing grant packets – delivery if needed
  • Managing supplies and placing orders
  • Assisting in preparation of proposals
  • Preparing client meetings and staff agendas
  • Maintaining and monitoring client communications calendars
  • Maintaining staff community relations opportunities and calendars for business development
  • Performing receptionist duties (phones, drop in traffic) as needed
  • Other duties assigned

Qualifications and required skills:

  • 2+ years of experience in an administrative role
  • Experience working in the nonprofit sector would be a plus
  • Experience in accounts payable and receivable would be a plus
  • Experience supporting multiple individuals would be a plus as well
  • Strong organizational skills, with ability to adapt to changing priorities
  • Strong verbal and written communication skills
  • Excellent attention to detail
  • Strong desire to work as part of a team and support ideas/success of co-workers
  • Ability to handle many responsibilities and tasks simultaneously to meet deadlines
  • Ability and willingness to work independently, while incorporating needs of other team members
  • Proficiency in Microsoft Office Suite
  • Knowledge of Constant Contact, database platforms a plus
  • Basic accounting and bookkeeping experience a plus
